 Data base organization

This database (which might be browsed/searched in this presentationIZ) is only an excerpt of the integral database of Pancic’s herbarium “HERBPAN”, which is located in the Institute of Botany and Botanical Garden of the Faculty of Biology, at Belgrade University. Database is organized in PARADOX 4.0 application software package and   is thus directly compatible with the most standard databases operating under DOS and WINDOWS.

Accessible part of the database is organized in three sections: Classification, Localization and Period.

Classification section  columns contain data on the names of 1.Family; 2. Genera; 3 Species and 4. Revision. In the column  3.Species the names, which are written on the label by Pancic, are entered. Sometimes his determinations are erroneous. In the column 4.Revision  few revisions to Pancic’s determinations are entered..

Localization  section columns contain data on the names of: 5. Region; 6. Locality and 7. Sublocality in which the plant was collected. In the integral database there are additional columns, which more closely define the localities of Pancic’s records. Thus, in the generated reports, which are obtained after the query into the accessible database, the  field name  6.Locality corresponds to the field name  Locality1, whereas the field name  7. Sublocality corresponds to the field name Locality 2.

Period section columns contain data on the year of plant collection. In the integral database the exact date of plant picking is also  given.

Query into the database

Query into the database may be put for each of the specified fields in the following combinations: 1) for the  single field; 2) for several fields combined and 3) for  all the fields at a time.

The database is organized to give the answer to any substring contained in the defined field. Thus, it is not necessary to enter the full name of the taxon or locality to get the answer. The combination of substrings in different query fields considerably facilitates and accelerates searching.

For putting the most precise queries and getting the most  complete answers from the database, four sub-databases were created with the names of Families, Genera, Regions and Localities. Given that  these sub-databases derive from the integral database, they contain all taxonomical and geographical names, which are identical to those featured in the integral database. By using  these sub-databases, which might be downloaded and analyzed independently of the work on the site, even  if the user is off line,  putting of the queries is facilitated and the dangers of erroneous answers, which might arise either from the use of different names for higher taxa or printing errors, lessened.

Report creation

The database is created in the way that the report may differ from the query itself. The elements that might appear in the report are all those through which queries are put. By clicking the mouse it is possible to mark “check box” in front of the field name, by which the information contained in the marked/selected field is included in the report. The unique exsiccate number (Ex.no), by which each herbarium sheet is designated, is always the first information to appear in the report. Through this number other inaccessible information, which are contained in the integral database, may also be obtained .

Data in the report may be sorted by the classification, localization or the year of collection. Sorting is performed by marking the check box in front of the field name to be sorted.

Types of reports and their downloading

Pancic’s herbarium consists of more than 10,000 records by which the programme for certain queries may set apart a great number of records, which satisfy the required condition. Due to the limited speed of information transfer through the Internet, the  security device is installed so that the final entire report  may be sent immediately after the query itself only if the report contains less than 52 records. In that case the report appears as a Table which may be saved by pressing right mouse button on the Save Frame As....

If the report contains more than 51 excerpted records the program zips them and the user is enabled to download them by clicking mouse right button to Save link as.  After downloading the user have to unzip the archive and view the report using the  Internet browser.
